Assistant Events Coordinator

Job Purpose

The Assistant Events Coordinator is responsible for providing support to the Wedding Coordinator and Catering & Events Sales Coordinator assuming administrative, customer service and day of event duties.


  • Assist in venue set up as needed
  • Create and send event proposal
  • Manage vendor communications and logistics
  • Assist in the event planning process as needed
  • Be the welcoming face and point person at events
  • Serve as the primary day of event contact for all Folino Estate events including weddings, corporate functions, private events and Folino Estate signature events when needed
  • Work in the office on administrative duties as well as attend events both onsite and offsite
  • Assist Event Coordinators with miscellaneous projects and special requests
  • Respond to all incoming inquiries, questions and customer feedback
  • Answer basic questions related to events and have the ability to answer general customer service questions
  • Assist clients throughout the entire event planning process
  • Organize, photocopy, order, coordinate, deliver and retrieve event necessities including copies, books, materials, supplies, food, etc. as needed and requested
  • Maintain record of all communications, leads, contacts and event documents and keep all files up to date
  • Assume responsibility for all client communications including meeting and payment reminders, final details, post event follow up and more
  • Additional support as needed


  • Post Folino Estate signature events to website and social media
  • Share event images with Sales & Marketing Director
  • Assist with planning and coordinating Folino Estate signature events
  • Attend off site marketing events and food & wine festivals as needed
  • Complete graphic design request forms as requested
  • Additional marketing support as needed


  • General customer service duties, answering phones, responding to messages
  • Assist with creating and maintaining systems that help to establish processes and keep
    the office organized and efficient

Physical requirements

  • Must be able to lift up to 20 pounds.
  • Loading and unloading of catering van and ability to assist in setup and breakdown of events both on and off site.
  • Ability to stand for long periods of time.
  • Ability to drive to various locations for sales and marketing activities as well as for food delivery. Must have a valid driver’s licence


Environmental Conditions

  • This position will require candidate to work on and off premises
  • Must have weekend and evening availability
